Connect each receipt to the physical piece or bundle it documents, retain the original securely and record only supported purchase amounts. A receipt, a market listing and an authenticity document serve different purposes.
Match the document to the purchase
Start with the item description, purchase date, seller and order reference. For a multi-item order, determine which charge belongs to each piece and which costs apply to the order as a whole. A receipt total should not be assigned in full to every item on it.
iCollect's record-focused workflow and FASHIONPHILE's seller guidance both point to the usefulness of clear item information. Your own evidence set should retain the transaction facts without turning unrelated documents into proof they cannot provide.
Keep document roles distinct
| Document | What it may establish |
|---|---|
| Purchase receipt | A transaction amount and described item |
| Delivery confirmation | A shipment event, not necessarily current condition |
| Product listing | What was offered at that point in time |
| Specialist assessment | The scope and conclusion stated by its author |
| Repair invoice | Work and charges described, not a universal value increase |
Build a small filing system
- Keep the original file or photograph in secure storage.
- Give it a stable name linked to your item record.
- Record purchase amounts consistently and preserve unknown components.
- Attach refunds or exchanges to the original purchase history.
- Use redacted copies for any public sharing.
Illustrative example: a receipt shows two pieces totaling $500 but no separate line prices. Do not enter $500 for each. Preserve the bundle total and either keep costs unallocated or document a reasonable personal allocation. Our bundle-cost guide explains that recordkeeping choice.
Do not expose the document accidentally
Receipts can contain names, addresses, payment fragments, order references and account details. Check the image itself, not only its filename, before sharing a public record. Cropping a cover photo does not remove personal information from a separate image you also publish.
Pieces separates private purchase details from public collection presentation. Verify the actual sharing view before sending it and retain independent copies of important records. Bank-connected receipt ingestion, automatic document matching and a guaranteed document-backup service are not claimed.
