Decide exactly what each record represents.
A mixed collection needs more than one naming convention. A sealed set, a loose figure and a graded card require different details, even when they sit on the same shelf.
- Choose the unit you are tracking. Decide whether a record represents one item or an intentionally grouped set. If a set already includes several pieces, do not count those same pieces again in the total. Write down what is included.
- Preserve category-specific identity. For a building set, capture its set number and completeness. For a card, note the set, card number, language and any documented grade. For a figure, record its maker, edition and size. Packaging and a shared character name are not enough to establish an exact match.
- Leave uncertainty visible. Distinguish sealed from opened, complete from incomplete, and documented condition from assumptions. When compatible market evidence is missing, keep the inventory record useful without treating a nearby product's price as yours.
